Wearers

 

The Historion Wearer record is intended to provide a reliable historical record of Radiation Exposure and Radiation Safety matters for occupationally exposed individuals.

 

Wearers and Dosimetry Records are at the heart of the Historion software and provided the initial grounding for the development of the application, from where many other RSO utilities were added.

 

Searching for Wearers

 

The Wearer Search Utility assists the RSO to retrieve a set of Wearers or an individual Wearer, using specified Wearer Properties as data filtering criteria. The utility includes important additional features.

 

The Wearer Search Utility is accessed from the Wearers icon in the Wearers ribbon tab:

List all Wearers

List a subset of Wearers (using search parameters)

Find a Wearer Record Using Partial Name Text

 

The fastest way to find a Wearer in Historion, if the Wearer’s name is known, is to open the Wearer Search Utility and immediately type the first two letters of the Wearer’s First Name followed by a <SPACE> character then the first two letters of the Wearer’s Surname and press <ENTER> in the default search field Wearer Name.

 

Historion responds to the <ENTER> key in the Wearer Name text box by conducting a wild card or partial name search of all Wearers that the User has permission to see in the Historion Database. The following Wearer fields are wildcard search in combined, forward and backward combinations;

 

Data Name

First Name

Surname

Other Names

 

Note that all of the above fields are also searched in the Wearer Alias Name records so if a Wearer has an alternate name the Wearer may appear in the search results due to the alias record meeting the search criteria.

 

 

List all Wearers

To see all Wearers in Historion (all for which the current logged in User has permission to see) click the [Show All] button. This is typically done by a System Admin User for exporting to Excel.

 

Note that the full list of Wearers can also be obtained by a System Admin User via the Extract tool in the Reports tab (select Wearers, to export to csv).

 

A User with Centre Admin permissions restricted to a given Centre will only see Wearers that have that Centre selected as their Current Centre in the Wearer Details page. All remaining search results are based on the same master permissions.

 

If a User searches for a specific Wearer by name and the User does not have permission to see that Wearer, the Wearer will not appear in the Show All list result for that User. The Wearer will also not appear in the search results using any of the list filtering and searching methods described below while the same User is logged in.

 

If the User is subsequently given higher permissions or the Wearer’s Current Centre is changed (by a different User) to a Centre that the User has the required permissions to for, then the Wearer will be found in new Wearer Search results.

 

Note that after permissions are changed, affected Users must log out of Historion and back in again, if currently logged in, for the changes to take effect.

 

 

List a Subset of Wearers (Using Search Parameters)

The set of parameters that appear in the Wearer Search Utility can be used on their own to search for a broad group of Wearers (such as all females) or multiple parameters can be used together to search for a more specific set of Wearers (such as all males of a certain Age Range at a specific Site).

 

If multiple parameters are used together, the Wearer Search algorithm treats the specified criteria as an inclusive “AND” set of conditions for matching results, it is not an ‘OR” operation across the fields.

 

This means, using the above example, that searching for all males of a specific Age Range at a specific Site, will only show Wearers that are male AND also match the required Aged Range AND also have the same Site selected as that specified in the search criteria.

 

                                                                                                                                                   Exact Matches Option

 

 

Matching data can be seen and confirmed for the parameter fields used in the Wearer Details page.

 

Note that the default for all free text fields in the Wearer Search Utility is for the search algorithm to match on a wildcard or partial match basis. The Exact Matches option allows for searching with all free text box criteria entered by the user to be treated as require precise matching between the text box contents used in the search criteria and corresponding Wearer record field values.

 

  Note that regardless of any parameters or text-based search criteria used a User will only be able to find Wearers that they have role-based permission to see in Historion.

 

The full range of parameters (and locations of Wearer Details page source fields and notes regarding behaviour) that are available in the Wearer Search Utility are explained in the Wearer Search Utility Parameters table n below.

 

 

Wearer Search Utility Parameters

 

Parameter

Field Location, Behaviours of Note

Wearer Name

The Wearer Name text box is a specialised search field that allows wildcard partial text searching based on typing part of the Wearers name then pressing the <Enter> key. This field is the default field and cursor position when the Wearer Search Utility is opened.

Wearer No.

The Wearer No. field appears on the first tab of the Wearer Details page.

Payroll No.

The Payroll No. field is on the IDs tab at the top of the Wearer Details page.

ANRDR No.

The ANRDR Number appears in the National Register tab at the lower half of the Wearer Details page.

Student No.

The Student No. field is on the IDs tab at the top of the Wearer Details page.

Other No.

The Other No. field is on the IDs tab at the top of the Wearer Details page.

Other ID.

The Other ID. field is on the IDs tab at the top of the Wearer Details page.

Current Centre

The Current Centre is selected on the first tab of the Wearer Details page for any given Wearer. The Current Centre is automatically set when Dose Readings are imported for a Wearer.

 

Using the Current Centre is strongly advised but not strictly mandatory so if using this parameter note that it is possible some Wearers, especially Wearers that have been manually added and have no Dose Readings yet, may not have a Current Centre selected.

 

The Active Centres tick box allows for switching between the list of currently Active Status Centres in the Current Centre dropdown list and all Centres in the list ignoring Status. The default is ticked (Active Status Centres only).

 

The Centre No. Order tick box allows switching the display of Centres in the Current Centre list between ordering by Centre No. and Centre Name. The default is numeric sorting by Centre No.

Wearer Status

Wearer Status is used interchangeably with and refers to Monitoring Status which is selected on the first tab of the Wearer Details page for any given Wearer. Monitoring Status defaults to Monitored for new Wearers imported with Dose Readings or the Wearer Data Import Utility (unless a different Monitoring Status is used in the Wearer Import Template).

 

Using Monitoring Status is strongly advised but not strictly mandatory so if using this parameter note that it is possible some Wearers, especially Wearers that have been manually added, may not have a Monitoring Status.

Employment

Employment refers to the Employment Status of a Wearer relative to the organisation. Employment appears in the Wearer Employment tab at the lower half of the Wearer Details page.

Wearer Type

The Wearer Type field appears on the first tab of the Wearer Details page.

ANRDR Data

The ANRDR Data field provides for searching the Historion database for all Wearers that are or are not ready for participation in the Australian National Radiation Dose Register ANRDR. The ANRDR Data dropdown represents the possible outcomes of the binary ANRDR Readiness Flag.

 

The ANRDR Readiness Flag is based on completion status of fields that are required for participation and is displayed in the National Register tab at the lower half of the Wearer Details page toward the centre of the group of tabs.

Work Location

The Work Location field appears in the Wearer Employment tab at the lower half of the Wearer Details page (toward the centre of the group of tabs). The Work Location is a free text field that can be used to provide a local standard description or categorization of Wearer work areas.

Age Range

The Age Range drop down parameter is based on the Australian Bureau of Statistics Age Ranges for Labour Force Surveys at 5 year intervals.

 

All Wearer Age Ranges use their age in the present for Age Range purposes, based on their Date of Birth and recalculated Age as at the current date. Age Ranges are calculated with each search, so in 5 years all Wearers will appear to have automatically moved to an older Age Range bracket.

Sex

The Sex field appears on the first tab of the Wearer Details page.

Business Unit

The Business Unit field appears in the Group tab of the Wearer Details page.

Radiation Licence Holder

Radiation Licence Holder is a binary tick box field on the front page of the Wearer Details page entitled Wearer is a Radiation Licence Holder.

Site Location

The Site Location field appears in the Group tab of the Wearer Details page.

Occupation

The Occupation field appears in the Classify tab of the Wearer Details page.

Last Reading Start Date Range

The Last Reading Start Date refers to the commencement date of the most recent Wearing Period for Wearers with one or more Dose Readings imported,

Last Reading End Date Range

The Last Reading End Date refers to the completion date of the most recent Wearing Period for Wearers with one or more Dose Readings imported,

Pregnancy Declaration Date

The Pregnancy Declaration Date refers to the Declaration Date recorded against any Wearer Pregnancy Records accessible from the lower right corner of the Wearer Details page only for Wearers with a Sex selection of female.

Licence Expiration Date Range

The Licence Expiration Date refers to the Expiry Date for any Wearer Licences where a date has been recorded. The date appears in the Licence tab which is the first tab showing at the lower half of the Wearer Details page.

Other Group

The Other Group field appears in the Classify tab of the Wearer Details page.

Other Classification

The Other Classification field is in the Classify tab, Wearer Details page. The Other Classification is a free text field that can be used to provide a local standard description or categorization of Wearer occupational groupings.

 

 

 

List Wearers Missing Specific Data

 

The Wearer Search Utility can be used to list Wearers that are missing selections in one or more drop down fields of interest. The drop down lists have a special final entry at the bottom of each list which is named (Not Selected).

 

The (Not Selected) selection can be used on its own or in combination with other parameters as an AND search, the same as any other parameters, however the search algorithm is specifically checking for a null or blank value (no selection made) as the criteria for the applicable Wearer field.

 

The (Not Selected) option should not to be confused with leaving the parameter blank in the Wearer Search Utility. No parameter selection for a field means the field is not a criteria used in the current search episode by the search algorithm.

The (Not Selected) option is available in the following prioritised list fields in the Wearer Search Utility;

The Vital Data (% Complete) meter bars on the Home tab are also available for listing Wearers with incomplete data. When a Vital Data meter bar is clicked the Wearer Search Utility is activated in the context of the selected meter bar and showing the list of Wearers missing the data the bar represents.

 

Export Wearer Search Results to Excel

 

After generating a list of Wearers in the search results list of the Wearer Search Utility, the displayed Wearer details can be exported directly to a new Microsoft Excel worksheet. Microsoft Excel must be available in the current User’s session for this feature to be available.

 

Extraction to Excel “on the fly” in this manner is convenient and a type of custom reporting.

 

The lower half of the Wearer Search Utility where the search results are displayed has the same set of features, column and row behaviours any other Historion Listing Page.

 

Note that the full list of Wearers can also be obtained by a System Admin User via the Extract tool in the Reports tab (select Wearers, to export to csv).

 

 

Export to Excel Futures for the Wearer Search Utility

 

The Export Excel button will show a dropdown menu selection with five options;

The Wearer Search Utility will have two new buttons added, for generating bulk letters using the selected criteria and for generation of Wearer Demographic Reports for the selected criteria.

 

The new buttons will have the Letter Template icon and the report icon respectively.

 

The field Date Employment Ceased will be added and a new Exit Report Status drop down will be added to allow bulk generation of Exit Letters for Wearers with the given criteria.

 

 

Find a Wearer Record Using a Specific Identifier

 

The Wearer Search Utility provides for finding Wearers directly using identifier fields such as a Payroll Number or Student Number. Identifier fields are often, but not always numeric so the identifier fields accept alphanumeric text.

 

The identifier fields include:

Wearer No.

Payroll No.

ANRDR No.

Student No.

Other No.

Other ID

Note that all identifier fields assume a wildcard search option. This means it is possible to search for all Wearers with an identifier that have part of a numeric sequence within them, not necessarily an exact search. If an exact search is required the Exact Matches tick box option is available.

 

The Other No. field is provided for any locally meaningful identifiers, record keys or index values that the Organisation using Historion may wish to use. The definition and use of the Other No. field and any standardisation of formatting etc. resides with the Organisation.

 

The Other ID field provides a second option for locally meaningful identifiers, record keys or index values that the Organisation using Historion may wish to use. The definition and use of the Other ID field, preference over use of the Other No. field and any other standardisation of formatting etc. resides with the Organisation.

 

 

View a Wearer record

 

Opening a Wearer Record and viewing the various tabs and information for the selected individual in the Wearer Details page simply requires clicking the View link for the Wearer in the search results list;

 

 

Identifier Search Futures

 

In a future release the ability to optionally undertake a fuzzy search where the Wearer identifier field value is different by only one character position or by only two character positions in any part of the string will be included in the search outcome. This will aid in detecting incorrect, transposed characters saved in applicable Wearer Record Fields or entered incorrectly in the search criteria used.

 

The Other No. and Other ID fields will allow local customisation of their names for Organisational use. The names the given to these fields will be kept in the settings area in system admin and will appear in the Wearer Search Utility with their given titles.
