Bulk Wearer and Centre Expiry

The Deactivation Utility is an optional tool that helps to ensure the Status of Wearers and Centres are aligned with the currency of their Dose Readings. The tool searches for Wearers or Centres that have not had a Dose Reading for a (customisable) extended period of time and based on inactivity sets the Status of Wearers to Not Monitored and Centres to Inactive. Please note the cautionary advice below.

The Deactivation Utility is accessed via the [Expire] button on the Wearer ribbon tab as shown below;

                   Run Utility Now to update all Wearer and centre Status

The default expiry days for Wearers is 365 and for Centres is 730 days. These values can be changed be clicking the [Edit] button next to the value and changing the number of days displayed;

The Deactivation Tool provides a [Run Utility Now] button and a [Set all Wearers to Active] button.

The [Run Utility Now] button will trigger the Wearer and Centre expiry process, which checks for Dose Readings within the past specified number of days back from the current date. If there are no Dose Readings detected within the specified time frame the Wearer Status is set to Not Monitored and for a Centre the Centre Status is set to Inactive. A message popup displays the number of affected records.

The [Set all Wearers to Active] button changes all Wearers and Centres to Monitored and Active Status respectively.

Note that changing the Wearer Status for a Wearer or the Centre Status for a Centre does not affect or lower Wearer Number usage for subscription purposes. Please further note the section; Historion Subscription Wearer Accounting.

The purpose of the Deactivation Frequency (hours) setting was to create an update schedule for a minimum amount of time to have passed before the Deactivation Utility would be run again, on start-up of the Historion software, assuming the Enable Deactivation Utility [ ] checkbox was ticked. This was requiring Users to log into and out of Historion to enact the established schedule.

The Deactivation utility frequency (hours) is deprecated in Historion 6.1.6.9 onward and will be replaced by a scheduled task of the same nature in the Historion companion Dose Automation software.

The Dose Automation tool has significant advantages over session based deactivation checking, including not requiring logged in users, and hence scheduling aspects of this feature are being moved.

Please carefully note the following cautionary advice;

  USE THIS UTILITY WITH CARE

The [Run Utility Now] button checks, and has the potential to affect, all Wearers and all Centres. The [Set all Wearers to Active] button was provided to “undo” the results of the [Run Utility Now] if needed. The “undo” is not an exact reversal, it simply sets all Wearers and Centres to Monitored and Active status respectively, in bulk.

Neither of these options have a fine level of control over the bulk data updating they perform. Future versions of Historion will provide detailed parameters and additional settings for these functions.

Deactivation Tool Futures

The tool requires finer control in setting detailed rules for more discretionary use of mass deactivation and mass reactivation processing.

The Dose Automation scheduled tasks require expiry changes to happen outside of standard hours and observation of scheduling considerations around data import and DQM maintenance times.
